Common questions

The scan found receipts that are not business expenses

That is expected — the model sorts everything that looks like a receipt and marks personal items as Non-deductible / personal. Anything it is unsure about lands in Uncertain — review. Filter the table by those categories, fix or remove rows, and mark them reviewed. Corrections stick on later scans.

A receipt is missing

Check the scan log for the message: it will say whether it was skipped by the prefilter, rejected by the model, or saved as a duplicate. If it was skipped, upload the PDF directly from the Upload page. If it was rejected, tell us — examples help us tune the prefilter.

GST is marked as estimated

The document did not state a GST amount, so we estimated one-eleventh of the total and flagged it. Edit the GST field if you have the correct figure. Foreign purchases usually carry no GST; clear the field in that case.

Revoke Gmail access

You can cut off Sweep Tax's access to a mailbox in either of two places:

  1. In Sweep Tax: Settings → Mailboxes → Disconnect. This deletes the stored refresh token immediately.
  2. At Google: go to https://myaccount.google.com/permissions, choose Sweep Tax under "Third-party apps with account access", and click Remove access. Our stored token stops working straight away; the next scan will ask you to reconnect.

Revoking access does not delete records already extracted. Delete those separately if you want them gone.

Export your data

  1. Open the Expenses page and choose the business and financial year.
  2. Apply any filters you want (category, biller, date range, reviewed).
  3. Choose CSV or XLSX for the table, PDF for a summary by category, or ZIP for every source document sorted into ATO-category folders with an index spreadsheet.

The ZIP is a complete copy of a business's data; it is what to give an accountant or keep for your own records.

Delete your data

  • One record: open it and choose Delete.
  • Many records: select them in the table and use the bulk bar.
  • A business: Settings → Businesses → Delete. Removes its mailboxes, records, files and members.
  • Your account: Settings → Account → Delete account. Removes every business you own, your user record and sessions. If a business has other members it must be transferred or deleted first.

Deletion is immediate and cannot be undone. Backups roll off within 30 days. See the privacy policy for retention details.

Invite your accountant

  1. Settings → Businesses → Members → Invite.
  2. Enter their email address. They receive a sign-in link and become a member of that business only.
  3. They can review and edit records and run exports. Remove them from the same screen when the engagement ends.
